Host an Event
Submit An Event for 2026
BLFC is heavily dependent on you, our community, in order to provide skillfully hosted events for our attendees.
We eagerly accept applications from event performers, panel creators, meet-and-greet hosts, tabletop event hosts, and video game event hosts! We actively seek community members with skills and knowledge to share during this year’s sailing. If you are interested in hosting an event, please click the button below to submit an application or reach out to the Programming Team for questions. We’re here to help you help us in making the most out of our upcoming sailing.
Panels and events are primarily hosted within the Panel Rooms located in the Executive/Mezzanine Level meeting rooms, a section of the third floor in the Grand Sierra Resort and Casino.
Applications close on August 14th, 2026
Submission Timeline
Applications for Event Submissions will begin on April 15th, 2026.
BLFC’s Programming Team aims to review and contact prospective event hosts and performers soon after they submit their applications. The process will go as follows:
- After you submit your application, you will receive a confirmation email detailing your application.
- Once reviewed, you will receive either an acceptance email or a follow-up email requesting more details about your event.
- Shortly after acceptance, you will receive an email with tentative schedule details. Review the information, such as Room, Date, and Time. If all the details look good, utilize the confirmation link to lock in your event!
If you have any questions about the process or your event, please contact the Programming Team. If we do not hear from you after multiple attempts at contact we may cancel your event or reject your application. If anything changes about your event, please contact us as soon as you can.
FAQ
What is a CfP?
CfP stands for Call for Proposals, “Proposals” being the event or panel you are seeking to host.
What is a Track?
A Track, or Tracks, is the way we group events. Tracks include groupings such as Educational, Meet & Greet, Performance, and much more.
Can 18+ panels be hosted?
Yes, panels with 18+ content are allowed. Typically, they are scheduled after 7PM. You will be responsible for finding a volunteer to check ID at the door. Before your panel, you must check in at the Panels Table. If you don’t check in at the Panels table and identify your checker, your panel will be canceled.
Can I post flyers advertising my event?
Absolutely! We ask that you post flyers only within convention spaces (behind a badge check) and use blue painter’s tape to ensure that surfaces aren’t damaged.
Flyers posted outside of convention spaces such as elevator lobbies, hallway tables (we know it’s tempting, but please don’t!), etc. will be immediately discarded and you will be responsible for any damages caused.
I want to do a workshop, but I can’t afford to give away supplies.
You are allowed to charge for supplies for your workshop. Please speak with one of our schedulers for approval to charge a fee.
What is a workshop?
Workshops are hands-on events in which the host leads attendees through a process, such as learning to draw or paint. Our room setup for workshops have long rows of tables with chairs similar to a classroom making it perfect for art tutorials and crafts.
Can I do a raffle?
No, the State of Nevada considers these to be illegal lotteries.
My panel has unusual equipment or room requirements.
That’s okay. During the application, please note your special needs, and if you do not hear back from the team, reach out.
Will an ASL interpreter be available?
BLFC aims to have ASL interpreters for all major events during the convention and any events our attendees identify as needing interpreters. This is on a best effort basis. If you know the events you need an interpreter for, please let the Programming Team know as soon as possible so we can schedule our interpreters early. If you are ASL-fluent and would like to volunteer as an interpreter, please contact the Programming Team.
What are Meet & Greets?
Meet and Greets are a type of panel event where people of like-minded interests can meet and make new friends! They require minimal preparation and setup in advance, as it’s primarily an opportunity to hold space for your special interest.
What events are happening?
We’ll share the official schedule closer to the con date. That is where you’ll find all of the panels scheduled for this year’s convention.
