Host an Event
Submit An Event for 2025
BLFC is highly dependent on the community in order to provide skillfully presented events.
We happily accept applications from panelists/performers and are actively looking for people with skills and knowledge that they are eager to share. If you wish to run an event or have an idea for one, go ahead and click the button below and apply to host it, or contact the Programming team. Help us help you entertain our other fellow guests.
The Panel Rooms will be located in the Executive/Mezzanine Level meeting rooms, a section of the third floor in the Grand Sierra Resort and Casino.
Applications close on August 14th, 2025
New scheduling system this year!
For 2025, we are implementing a new system to centralize our event/panel scheduling and create and publish the schedule faster. This system is designed more for scientific conferences, so some terminology may seem a bit weird.
- CfP or Proposals: Event that you wish to do.
- Track: This is what you would primarily think your event is classified as.
How the process works
We have created this timeline to help you through the process of submitting your event. Compared to previous years, you will need to watch your email!
- Submit your event
- You will receive an email confirmation stating that your application has been received.
- You will receive an acceptance email stating that your event was accepted or an email from one of the programming staff if they have any questions or concerns.
- Shortly after, you will receive an automated email stating that your event has been tentatively scheduled for a specific room/date/time. If this looks good, click the confirmation link in the email to lock in your event!
- If you have any questions or concerns about when you have been scheduled, don’t hesitate to reply to the email, and one of our programming staff will reach out to resolve the issue.
- If we do not hear from you, we will reach out again to confirm your event. If we still do not hear back, we may cancel your event. Please let us know if something comes up! We understand that life happens.
FAQ
Can 18+ panels be hosted?
Yes, panels with 18+ content are allowed. Typically, they are scheduled after 7PM. You will be responsible for finding a volunteer to check ID at the door. If you don’t check in at the Panels table and identify your checker, your panel will be canceled.
Can I post flyers advertising my event?
Absolutely! We ask that you post flyers only within convention spaces (behind a badge check) and use blue painter’s tape to ensure that surfaces aren’t damaged.
Flyers posted outside of convention spaces such as elevator lobbies, hallway tables (we know it’s tempting, but please don’t!), etc. will be immediately discarded and you will be responsible for any damages caused.
I want to do a workshop, but I can’t afford to give away supplies.
You are allowed to charge for supplies for your workshop. Please speak with one of our schedulers for approval to charge a fee.
What is a workshop?
A workshop is a room that has long rows of tables (like a classroom) with chairs behind them. This room layout is good for art gatherings.
Can I do a raffle?
No, the State of Nevada considers these to be illegal lotteries.
My panel has unusual equipment or room requirements.
That’s okay. You’ll need to note your special needs when you apply.
Will an ASL interpreter be available?
We will be hiring ASL interpreters. We will do our best to have an interpreter at the requested panels, but it is based on their availability. If you need an interpreter, please make sure to document it in your special requests section. If you happen to be ASL-fluent and want to volunteer to be an interpreter, please contact the Programming team.
What are Meet & Greets?
Our primary goal is to get people together to make new friends. If you have a specific interest and want to meet like-minded new friends, please declare a Meet & Greet. M&G hosts don’t really have to prepare or do anything except to declare the M&G is happening, and attend.
What panels are happening?
Closer to the con, we will post the live working-copy schedule, which will update repeatedly as panels are added and juggled, and settle down to a final schedule about four weeks before the con.
